The Secret to Stress-Free Projects: Why We Use an "Approach Document

We’ve all been there. You start a project with high energy, only to hit a wall two weeks later because the client expected one thing, and the research required another.

The most common question we get is: "Why can’t we just do this faster?"

In the second part of our series, our Senior UX Researcher, Addaito Chatterjee, sits down to explain how we handle this at Lollypop Design Studio. It’s not about working harder; it’s about aligning better from Day 1.

The "One-Size-Fits-All" Myth

One of the biggest takeaways from Addaito is that research isn't just one "task."

  • Field Ethnography requires deep immersion, travel, and time.

  • Remote Research is faster but has different trade-offs.

When a client expects the speed of a remote call but the depth of a field study, tension is inevitable. That’s where the Approach Document comes in.

What is an Approach Document?

Think of it as a roadmap that everyone agrees on before the car starts moving. It helps us:

  • Set Realistic Timelines: No more guessing games.

  • Define the "Why": Why are we choosing this specific method?

  • Build Trust: When a client sees the logic behind the effort, they aren't just a "customer" anymore—they are a partner in the process.

Do you use a specific document to align with your clients, or do you prefer a more casual kickoff? I’d love to hear how you manage expectations in your own work.
